Project and Process Management


The ITS Project Management Office specializes in project management concepts to improve productivity, performance and deliver a successful product to the client.  Project management's focus is around the reason a project exists, objectives and project deliverables.

 

"What is a project?" is a very difficult question to answer.  All requests are evaluated to determine if they rise to the level of needing project oversight.  Various factors are taken into consideration during the evaluation: timeline, requirements, complexity, etc.  Additional information may have to be gathered to make a final determination.  Please review the IT Security Requirements.  The ITS project team will be happy to meet with campus clients to review requirements and determine the best path to move forward.

PSU has many important IT projects.  Those projects are prioritized by the PSU IT Governance and Project Management Team.  This committee gives ITS direction on what to work on given federal guidelines, target dates, revenue streams, etc.  To learn more about the ITPMC please click here.

When purchasing technology products at PSU, clients should keep in mind that university technology purchases must follow state policies and procedures:

  1. Approval from ITS: As per the KBOR IT Security Policy, all PSU technology purchases (regardless of funding source) must be approved by ITS.
  2. State Review: PSU is required to submit all IT projects to the State of Kansas for risk assessment. Higher-risk projects may need to be co-managed by the state's office in Topeka and PSU's IT Project Management team.
  3. Vendor Security Evaluation: PSU must evaluate both the product and the vendor’s IT security practices.
  4. Accessibility Evaluation: PSU must assess the product's accessibility status.

PSU is in the process of replacing the University's home-grown, legacy ERP: GUS Classic.  ERPs in Higher Education are made up of 4 primary modules: Human Resources, Business Finance, Student Financial Assistance, and Student Information. 

PSU has replaced 3 of the 4 modules (HR, Business Finance, Financial Aid). The Financial Aid module was completed Fall of 2023! The University is gaining a better understanding each day of the power of this new tool and how it can transform the work we do with students in the Financial Assistance realm.

PSU has partnered once again with Oracle on their Student Management Cloud (aka Student Information System) application which will complete PSU's ERP system! The project team which consists of several PSU departments and many PSU functional experts are currently:

-meeting regularly with Oracle and other institutions implementing the student product

-testing the new product

-determining process and policy changes
