Position Responsibilities: Reporting to the Director of Advancement Services, the Assistant Director is responsible for assisting with the accounting duties and responsibilities of the Pittsburg State University Foundation, Inc. Specific duties and responsibilities include: • Assumes responsibility for ensuring the timely and accurate data entry of gifts including gift coding, donor agreements/intent, fund compliance, as well as compliance with IRS regulations of gift substantiation, FASB regulations, University policies and procedures, and PCI (Payment Card Industry) standards compliance. Effectively researches, analyzes and implements solutions to resolve various compliance issues. Provides guidance and evaluation to the data processing support staff. • Reviews all Foundation funded expenditures processed through the accounting system (GUS Cloud) to ensure that all transactions adhere to donor intentions, availability of funds, correct general ledger coding, appropriate documentation required for IRS compliance and FASB regulations. Has significant latitude in determining if all requirements have been met and either approves or rejects the transaction accordingly. Additionally, identifies, determines, and prepares IRS annual tax forms (i.e. 1099, 1099-R, etc.) for PSU Foundation, Inc. Also maintains fixed asset data as it relates to asset reporting and depreciation calculation. • Assist with preparation of internal and external records and reports to include regularly scheduled and any committee or board reports and information regarding the Pittsburg State University Foundation. This would also include assistance in the preparation of the Foundation’s annual financial report. • Manages the chart of accounts in establishing new cost centers when necessary as determined by inductive reasoning. Resolve fund related problems and follow up with departments on new projects/funds to be created. Establish new funds, process journal entries, investigates discrepancies and prepares detailed records and reports as needed from the accounting system (GUS Cloud). • Reconciles the accounting system (GUS Cloud) general ledger to the donor database system to ensure that all gifts have been recorded appropriately. • Responsible for processing all gifts-in-kind, including securities, and handling the reminders for donors of their pledge commitments. • Provide occasional back up or assistance to other staff which requires a well-rounded knowledge in the areas of systems, accounting and tax receipting and other donor related issues. • Responsible for recruitment, training, and supervision of student employees. Additionally, any other duties as assigned. • Contributing to the overall success of the University Advancement Division, the Pittsburg State University Foundation, and the Pittsburg State University Alumni Association by performing other essential duties and responsibilities as assigned by the Director of Advancement Services.

Minimum Requirements: A bachelor’s degree in Accounting and three years of experience preferably in higher education or non-profit.

Preferred Qualifications: Experience with accounting software; preferably Oracle Fusion. Considerable experience and knowledge of Microsoft Office Excel.
